ISO Standards and Excellence Affiliation Work Sheet – CLO5. Recommend quality management system approaches to improve an organizations performance. Why should and organization analyze quality and excellence? This is to be able to evaluate and motivate the staff of the organization. This is best achieved through the proper management of the organization’s projects as well as the human resources. How would and organization analyze quality and excellence? What tools would they use? Other goals achieved through the careful consideration and analysis of the financial situations which then allow the company to be able to evaluate and determine the risks and in so doing be able to employ the knowledge acquired in management tools as well as using the necessary techniques in dealing with the challenges in the organization. Tools likely to be used for these include the: Pareto Charts, Cause and effect diagrams, Check sheets, Histograms, Scatter diagrams and Run charts and control Charts (SPC). What is improvement in relation to a service/product? Improvement of a product or a service entails processes that will ensure the product or service is to the level which the customers appreciate or in another view making the quality of the product be of the quality equal to or better than what the competitors are offering. As such the constant monitoring and developing of the product constitutes improvement of a product or a service. What is maintenance of a service/product? Maintenance is the process of returning to its normal performance when a process’s performance deteriorates and is then restored to its historic performance level, no improvement has occurred in the process’s capability. What is the difference between improvement and maintenance in a service/product? Improvement takes the process to a new, higher level of performance, or renders the process more reliable, more consistent, or less likely to permit operator induced errors while maintenance is the process of returning to its normal performance when a process’s performance deteriorates and is then restored to its historic performance level, no improvement has occurred in the process’s capability. What is continual improvement? Continual improvement is the relentless pursuit of process or product/service improvements on a continuing basis, never becoming satisfied with the current state. What are the requirements of ISO9000 in relation to continual improvement? In an effort to sustain continual improvement the ISO9000 has some requirements in place to oversee this. They include: ensuring the availability of resources, getting the quality policy, getting in touch with the organization especially regarding the importance of being able to fulfill the needs of the customer as well as other needs such as the regulatory and statutory needs, conducting reviews of management and ensuring the quality objectives are established. What is the difference between world practice and best practice? The world class is where the world class organizations believe that good enough is never good enough while best practice they constantly seek to raise the performance and quality bars for their organizations and products or services. Which is best for an organization? Why? Management and organizational commitment is best for an organization because the leadership, commitment and the active involvement of the top management are essential for developing and maintaining an effective and efficient system of management that may be considered as quality. What is management responsibility in ISO 9000? Management responsibility is contained in Clause 5 of ISO 9000 is concerned with management responsibility that relates to Management Review, Management Commitment, Quality Policy Responsibility, Authority and communication and Customer Focus. What is management commitment? Why is it important? Management commitment is the Leadership, commitment and the active involvement of the top management is essential for developing and maintaining an effective and efficient system of management that is quality. It is important because it plays an important role in ensuring the availability of resources, communicating to the organization the importance of meeting customer as well as statutory and regulatory requirements, determining the quality policy, ensuring the quality objectives are established and conducting reviews of the management. Who is the customer in an organization? A person requiring the goods and services of an organization is considered a customer of the organization. How does an organization focus on the customer? As per the 7.2.1 and 8.2.1 clauses, the top management shall ensure that needs of the customer are determined and to ensure that these are met in an effort to enhance customer satisfaction. What processes could an organization put in place to ensure customer focus? Top management shall ensure that the customer focus is maintained by introducing a quality policy which is meant to ensure that there is appropriate to the purpose of the organization, the organization is reviewed for continuing suitability, includes a commitment to comply with the requirements and continually improve the effectiveness of the system of management that is quality, Is communicated and understood within the organization, and provide a framework for establishing and reviewing quality objectives How could an organization measure customer focus? Customer focus can be measured by considering the following: Monitoring and measurement of product, customer satisfaction (how satisfied is the customer?), Monitoring and measurement of processes and Internal audit (what is being done? Where is the evidence?). What is a quality policy? A good quality policy is short, and committed to complying with the ISO 9000, legal and regulatory authorities and committed to continual improvement of the QMS’ effectiveness Why is a quality policy important to an organization? A quality policy is communicated and understood within the organization is appropriate to the purpose of the organization, improves the effectiveness of the system of management that is quality, includes a commitment to comply with the requirements and continually, provides a framework for establishing and reviewing quality objectives and is reviewed for continuing suitability How does an organization plan a quality policy? Who is involved in developing a quality policy? The following are considered: setting quality objectives (what do we hope to accomplish?), Specifying the resources necessary to operate and support the processes (What resources will be required?) and specifying the necessary processes (how are we going to do it?). This is done by the management as well as the other stakeholders in the organization. According to ISO 9000 management responsibility whom has the authority? According to ISO9000, it is the top management that shall ensure that responsibility and authorities are defined and communicated within the organization. According to ISO 9000 management responsibility what are the communication processes? Who should communicate and how? According to ISO9000, it is the top management that shall ensure that responsibility and authorities are defined and communicated within the organization. Top management must create a position of management representative who has the responsibility and authority to ensure the QMS processes are identified, implemented and maintained, ensure the promotion of customer requirements awareness throughout the organization and report to top management on QMS performance and improvement. What is resource management? Why is it important to manage resources? According to ISO 9001:2008 refers to the provision of resources (6.1) determining what is required and providing the resources and as per the 6.2 refers to Human resources conforming to the product /service requirements by performing any task within the QMS competently. According to ISO 9000 how are management responsible for resource management? According to Clause 8 in ISO 9001:2008, the management is concerned with demonstrating conformity of the product and the QMS, and continual improvement though processes to: monitor and measure both the production process and product, prevent delivery of nonconforming product and ensuring the continued suitability and effectives of the QMS and continually improve the QMS and the product. What is monitoring and management? Monitoring and management deals with overseeing the customer, monitoring and measurement of processes and satisfaction (how satisfied is the customer?) and Internal audit (what is being done? Where is the evidence?) As well as monitoring and measurement of product. According to ISO 9000 what is management responsible for in monitoring and measurement? According to Clause 8 in ISO 9001:2008, the management is concerned with demonstrating conformity of the product and the QMS, and continual improvement though processes to: monitor and measure both the production process and product, prevent delivery of nonconforming product and ensuring the continued suitability and effectives of the QMS and continually improve the QMS and the product. Why is analysis of data important in and organization? It allows for preventing delivery of nonconforming product, monitor and measure both the production process and product, continually improve the QMS and the product and ensuring the continued suitability and effectives of the QMS. What are some data analysis tools? How could data be analyzed? The tools that can be used include the cause and effect diagrams, Pareto Charts, Histograms, Check sheets, Run charts and control Charts (SPC) and the scatter diagrams The Quality tools should be able to demonstrate: the organization is collecting and analyzing appropriate data to demonstrate if the QMS is suitable and effective, is the data collected showing continual improvement?, is the data monitoring and measuring data from many sources Other elements assessed include: does the data analysis provide information relating to customer satisfaction? conformity to product requirements?, trends of process and products, including opportunities for preventative action?
